Terms and Conditions

  Please keep in mind that all of our rentals are individually owned, and Carillon Beach Rentals acts as agent for each homeowner.  Our rental terms and conditions are designed to ensure you, our guest, have the most enjoyable vacation experience possible while protecting the homeowners’ property.

All of our rentals have color televisions, basic cable, VCRs/DVD players, free local phone service, microwaves and dishwashers.  All homes have washers & dryers.

Each unit is furnished with linens and towels.  We do ask that you bring beach towels for use at the pools and on the beach, as our linens are not for use in these areas.

An initial complimentary supply of toilet tissue, paper towels, soap and dishwashing detergent will be provided for your convenience.

Maid service is provided only upon your departure.  Arrangements can be made for maid service during your stay on an individual basis and at an extra charge.

All rates are subject to state and local taxes. Please see "Rental Cost, Rates, and Fees".  

Arrival/Departure

Check-in:  AFTER 4:00pm Central Time  -  Earlier check-in should not be anticipated. No exceptions.
Check-out:  BEFORE 10:00am Central Time

Late Arrivals

Our office hours are 9:00 am to 5:00 pm (Fall thru Spring) and 9:00 am to 6:00 pm (Memorial Day to Labor Day) CENTRAL TIME.  If you will be arriving after office hours, please contact us at least one day in advance so we may make key arrangements for you.

Payment

We gladly accept cash, checks (personal or business), VISA, MasterCard, American Express, or Discover for payment of your account. Full payment is due at time of arrival or for late arrivals the day after.  

Rental Cost, Rates, and Fees

All reservations are subject to rent, tax, a $30 reservation fee, and a cleaning fee. Cleaning fees vary by property and are subject to tax. The standard cleaning fee is not a waiver of our right to charge for additional cleaning caused by neglect or misuse of a property. Monthly rates are based on a two month minimum.

Security/Damage Deposit

Upon your arrival, the security deposit originally given to hold your reservation converts to a damage deposit.  This will be refunded to you within 14 business days after your departure provided:  

  • There is no damage to the property or its contents
  • No items are missing from the property
  • All keys are returned to Carillon Beach Rentals upon check-out
  • The number of guests does not exceed the maximum capacity for the property
  • There have been no pets on the property and no smoking within the property
  • The property is left in a generally neat condition

Once the deposit is released it will be credited back in the name on the reservation in the form of a check. Refund checks are distributed within 14 business days after departure, given the above criteria/requirements has been met. The security/damage deposit is not a waiver of our rights to charge for damages in excess of the amount of the deposit.

Cancellations – Short Term 

Short Term reservations are considered 21 days or less. If you must cancel your reservation please contact us 30 days prior to your arrival date to receive a refund of your deposit less a $30 processing fee. Cancellations less than 30 days from arrival date are subject to forfeiture of deposit and prepaid monies. No refunds or discounts will be given for late arrivals or early departures.

If you must cancel you reservation please contact us 45 days prior to your arrival date to receive a refund of your deposit less a $30 processing fee. Monthly Reservations

Monthly rates are based on a 2 month minimum. Please call for exceptions. Longer term stays are given priority over shorter term stays.

Occupancy

Each property is limited to a number of people it will accommodate by the number of beds in that property and in accordance with state laws.  The only exception to this is an infant or small child that is able to sleep in a crib or "Pack-n-Play."  Exceeding the maximum occupancy rate will result in the termination of your rental and forfeiture of your deposit.  

NO Pets

All of our rental properties are also designated no pets.  This policy will be strictly enforced.  Pets in your rental or on the property will result in the termination of your rental and forfeiture of your prepaid rent and deposit.  It is also against local law to have pets on the beach.  Please be advised that the Bay County Sheriff’s Department regularly patrols the beach and will fine you $500 per occurrence, with no warning.

No Smoking

All of our rentals are designated no smoking.  Smoking inside units will result in the forfeiture of your deposit.  If you smoke outside, please use an ashtray and discard the remains.

Age Restrictions

No reservations will be made for anyone under the age of 25 unless accompanied by an adult parent or guardian.  In which case, the reservation must be made in the accompanying adult parent or guardian’s name and this adult must physically occupy the unit.  Any reservations made under false pretense or misrepresentation will be subject to forfeiture of deposits, advance payments and/or any rental moneys collected.  

Other Restrictions

You will also be asked to vacate your rental immediately and will forfeit your prepaid rent and deposit if one of the following occur:                       

  • Excessive noise or unapproved functions or parties.  Please keep in mind that there is a 10:00 pm noise curfew for Carillon Beach. 
  • Rentals obtained under false pretense or misrepresentation.  Please remember that no reservations are accepted for anyone less than 25 years of age.  The adult above the age of 25 who confirmed the reservation must occupy the rental for the entire stay. 
  • Fireworks.  Fireworks are prohibited on property and use of fireworks may be in violation of state and local laws. 

Parties, Functions, or Weddings

No parties, functions, or weddings are allowed in any of our properties. Wedding guests and all guests alike are not permitted to have receptions, rehearsal dinners, brunches, etc. in any of our properties. If a party or function is taking place you will be asked and required to end it immediately. If a party or function has taken place the reservation will become subject to forfeiture of deposits, advance payments and/or any rental moneys collected, and all guests may be asked to vacate the premises immediately.

Note: All of our properties are privately owned and respected by their owners. We ask that as a guest you show the same respect to the property. Parties/functions cause abnormal wear and tear on a property that becomes more of an expense to an owner than a benefit. 

If you would like information regarding venues at which you may have a party, function, or wedding, please contact our Reservations Office at 1-866-832-7070, Carillon Weddings at 850-230-9255, Bella Flora of Carillon at 850-230-0855, or Graffiti's Restaurant at 850-230-0371. There are over a dozen different venue locations offered in Carillon. Please call one of the above mentioned entities for details regarding venue locations offered.

Housekeeping and Linens 

Each unit is furnished with linens and towels for your stay.    Please do not take linens or bath towels from your home to the beach or pool.  All homes and condos have washers & dryers for your use.

An initial complimentary supply of bath tissue, paper towels, soap and dishwashing detergent has been provided for your convenience.  Additional supplies that you may need for your vacation can be purchased at Winn Dixie or Publix super markets directly across the street from Carillon Beach. 

Housekeeping service is provided only upon your departure.  Arrangements can be made for housekeeping service during your stay on an individual basis and at an extra charge.   If you would like to arrange for housekeeping service during your stay, please call Guest Services at 233-7070 during normal business hours.

All reservations are charged a standard cleaning fee that varies in cost according to the size of the property. However, the standard cleaning fee is not a waiver of our right to charge for additional cleaning caused by neglect or misuse of a property.

Beach Access and Beach Chair Service - Carillon Beach Properties

Carillon Beach has nearly one mile of beach for your enjoyment.  There are 8 neighborhood dune walkovers along Beachside Drive for your access.  Please observe the posted Flag Warning System and use caution when swimming in the Gulf.  No lifeguards are on duty.                       

Some homes provide complimentary beach chair and umbrella service. Beach Service includes 1 lounge with 2 cushions and 1 umbrella. If your home provides complimentary beach chair service, your chairs can be found in front of your home (if gulf front) or on the beach near the closet dune walkover to your home.  Chairs are marked with the name of the home to which they belong.  The on-site beach service will set up your complimentary chairs each day for your use. 

Important: Beach Service is available spring through fall season only. Exact dates of service may vary each year.

If your home does not provide complimentary beach chair service, you can arrange to rent chairs and umbrellas from Ed’s Beach Service, our on-site provider, by calling the beach attendant at 850-628-0344.

There are 3 pools on property for your enjoyment:  the East Pool on the eastern end of the property, the gulf front Beach Club Pool, and the West Pool on the northwestern end of the property adjacent to Bellview Park.

Please observe the hours and rules posted at the pool area.   No lifeguard is on duty and parents are required to supervise their children.  Glass is prohibited on pool decks.  Chairs are available at each pool for your use.  Please bring your own beach towels, as the towels provided by Carillon Beach Rentals are not for use at the pools or beach.

Outdoor Grills

If the home you are vacationing in has a grill, please feel free to use it.  However, please do not move it onto balconies or porches and please exercise the same care and caution when grilling that you would use at your own home.  Please do not put charcoal in gas grills. If a home offers a gas or charcoal grill and you would like to use it please understand that you would be responsible for purchasing propane or charcoal as applicable at your own expense.

Construction

As you look forward to your vacation with us at Carillon Beach, we would like to remind you of the amount of construction activity taking place in our growing community.  A construction schedule has been established for all builders in Carillon Beach. We will make every effort to express the amount of construction activity you should expect during your stay with us.  However, we do not know exactly when new construction will start or how long to expect construction on any one house to last. There will be no refunds or discounts given due to the status of construction on property.  Any guest who chooses to change cottages due to construction will forfeit their advance deposit.  Please feel free to call with any questions concerning the stage of construction around your accommodation. 

Additional Check Out Information

Check-out time is 10:00 am CST promptly.  Please respect this as we have other guests who are anxious to check in and begin their vacation.   Late checkouts may result in additional charges. 

  • Please place all garbage in trash bags and remove it from your home.   It should be placed in the garbage cans outside your home.  You do not need to take bags or cans to the street.  
  • Please load and start the dishwasher
  • Please set the air conditioner to 75 degrees.
  • Please return your keys to the Carillon Beach Rentals office in Downtown Carillon.  If you leave before normal business hours, there is a drop slot on the rear door of the office.  (To get to the rear door of our office, face the front door and follow the breezeway to your left.)

Lost Key Charge

There will be a $25 charge for one lost key.  In the event you lose both keys to your home, we will deduct $100 from your security/damage deposit to cover re-keying all locks in the home.

Personal Items Lost or Left behind

We cannot be responsible for lost or misplaced items.  However if we are notified immediately of the misplaced items and they are found we will be happy to ship them to you via a third party shipping company called Pak Mail. 

Pak Mail will package and ship your items and will bill your credit card number for packaging and shipping costs.  Carillon Beach Rentals cannot be held responsible for packaging by carrier or mis-delivery.

Weather

In the event of inclement weather, we will only make refunds of rents or deposits for early departures and/or cancellations if a mandatory evacuation has been declared by the National Weather Service. Please call our office for additional information regarding hurricane preparedness.

Community Association Rules

As a guest at Carillon Beach, you must abide by the rules and regulation in effect in the community subject to the covenants of the homeowners’ association.  These include use of dedicated easements to access the beach.  Please do not trespass on property not included in your rental agreement and please obey all neighborhood speed limits.

Trailers

Trailers are not allowed in Carillon Beach unless parked in an enclosed garage. Not all properties have garages and not all garages can fit a trailer. So, if you are planning on bringing a trailer you must have a home that has a garage that can properly house the trailer. 

NOTE: Even though some properties have garages, the driveway might be on an angle or the garage might be very small not allowing accommodations for a trailer. Carillon Beach Rentals will not be held liable for a guest not being able to house a trailer.

Jet ski's and boats are not allowed to be parked any where in Carillon, even if on a trailer. 

Motorcycles and golf carts are allowed in Carillon. However, the trailer used to transport the golf cart or motorcycle must be housed in an enclosed garage or somewhere outside of Carillon. 

NOTE: If you plan on bringing a golf cart to Carillon you must register the golf cart with the association office. You will need to provide a copy of your drivers license and insurance in order to be provided a "golf cart parking pass". If you do not register and do not have the pass, the property patrol will suspend the golf cart privileges until proper registration has been filed. For details, please call the Homeowners Association at 850-234-7819 and see the "Golf Carts" paragraph below.

Downtown Carillon is NOT available for storing trailers or RV's.

Golf Carts

The Homeowner's Association requires the registration of all golf carts. If you plan on bringing a golf cart to Carillon you must register the golf cart with the association office. You will need to provide a copy of your drivers license and insurance in order to be provided a "golf cart parking pass". If you do not register and do not have the pass, the property patrol will suspend the golf cart privileges until proper registration has been filed.

Please contact the association in advance at 850-234-7819 if you plan to bring your own. This is a regulation of the Homeowner's Association and as a guest in Carillon Beach you agree to abide by their rules and regulations that which are under no control of Carillon Beach Rentals.

RV's

RV's are not allowed in any where in Carillon Beach. If you are planning on traveling to the are by RV you would need to find parking accommodations elsewhere in the area. Downtown Carillon is not available for storing trailers or RV's.

Exceptions

If special arrangements or exceptions have been made for your reservation regarding the above mentioned rental policies, you must request and receive a written exception approved by Carillon Beach Rentals management. This letter can be sent via email or postal mail. This written exception must be presented at check-in.

Agency Disclosure

Carillon Beach Rentals serves as the agent for all owners with properties on our rental program and is acting, at all times, in the best interest of the owners.  Every effort has been made for accuracy in all printed material and our website; however, we are not responsible for errors or omissions.  Rates, availability and descriptions are subject to change without notice.  Carillon Beach Rentals reserves the right to substitute accommodations when required due to owner changes, removal of a unit from our rental program or mechanical failure.  In such an event, we will make every attempt to contact you in advance.
